Position Title: Office Administrator 

Reports to: Mgr. of Culture & Cust. Svc.

Location: Austin, Texas

POSITION SCOPE: 

This person will assist with the day-to-day needs of the business across various departments including, office management, customer service, team culture, and operations. This person will be tasked with various project-based assignments, some recurring, and some at random, with the majority of the work to be completed in-office M-F. Each requires the utmost attention to detail. This person will need to be able to work well with others, taking directions as necessary as well as autonomously, taking the initiative to ensure all assigned duties are fulfilled properly, on-time, and without fail. This person must be one of the most organized and dependable team members. They will be a culture carrier, fulfillment specialist, customer service aficionado, and office guru.

MAJOR RESPONSIBILITIES:

*Note that responsibilities may be added or adjusted over time. 

Office Operations/Customer Service

  • Local Fulfillment (B2B, eCommerce apparel, and sample shipments)
  • Maintain adequate Office Inventory levels (Office supplies, Shipping supplies, product inventory, snacks, water, coffee, toiletries, etc.)
  • Conduct end of month inventory for office and offsite cold storage
  • General office support, Data entry, Bank deposits, local pick-ups and deliveries of assets, etc.
  • Sorting and scanning of all mail received to the office and dispersing as needed.
  • Marketing packet creation, shipment and documentation (ASN’s) Coordinate supplies replenishments with the marketing team as inventory levels of these items get low.
  • Office appearance – Daily support with office aesthetics, organization and cleanliness including the exterior of the office. (Ex. Coordinate with janitorial services, but also willing to take out trash, wash dishes, etc.)
  • Coordinate and assist with events (trade shows, demo support)
  • Manage offsite Cold storage – inventory transfers, troubleshooting inventory discrepancies, expired product. Etc.
  • Coordinate team culture events including but not limited to– Annual Herd Gathering, Team luncheons, employee milestones and birthday recognition, product launch events, etc.
  • Sample shipment fulfillment 
  • Customer Service – Issuing Shopify Gift cards, Rewards credit, Refunds and consumer contacts/complaint email coverage
  • Manage RingCentral account
  • Properly document and report all QA issues.
  • Conduct QA audits on all office product inventory
  • Reshipments – Process all eCommerce orders needing to be replaced
  • Weekly FedEx Claims report completion and filing
  • Subscription auditing and management – ReCharge
  • Skubana inventory management
  • Manage and update company directory
  • Manage and update Wholesale Account list
  • Manage 3rd party office related vendors and all office relationships
  • Process in person employee orders
  • Complete and maintain customer credit apps

Operations Coordination

  • Assist with operations projects and reporting requests as needed
  • Assist with logistics coordination as needed (demo shipments, tradeshow shipments, booth support, accommodations support and booking.     

EXPERIENCE AND CERTIFICATIONS:

  • Minimum of 4 Years in a professional work setting
  • Education: 4-year B.S./B.A. degree (preferably in Business or Supply Chain) or equivalent work experience preferred.

PROFICIENCIES:

  • Strong in Microsoft Excel and Word
  • Process planning, Project Management and Inventory Management
  • Shopify (and applicable applications)
  • Extensiv and or Skubana a plus
